What should you be aware of when you heavily rely on Outlook?

The upgrade process from Windows 7 and Windows 8 is actually quite streamlined and trouble free for most configurations. Things are even easier when applying a major update to Windows 10. However, for either upgrade, there are still a couple of attention points before you start.

This guide contains not only upgrade preparation and troubleshooting steps but also various tips about the changes that you could encounter involving Outlook after upgrading to Windows 10.


Is your Outlook version compatible with Windows 10?

Windows 10 Compatible logoOfficially, only Outlook 2013, Outlook 2016, Office 2019, Office 2021 (+LTSC) and Microsoft 365 are supported to run on Windows 10.

However, before even starting Outlook 2013 on Windows 10, make sure you first apply at least Service Pack 1 for Office 2013 and any additional updates. This takes care of some known compatibility issues.

Of course it is always wise to stay current with the latest update releases, so make sure you set Windows Update to also include updates for other Microsoft applications. Microsoft 365 installations (including Office 2016 Retail, Office 2019 and Office 2021) will automatically keep themselves up-to-date but you can always check for updates manually.

Continuing to use Outlook 2010, Outlook 2007, or even earlier versions, really isn’t recommended (on any version of Windows that is) as these versions are out of extended support. These versions of Office are vulnerable for various security issues for which updates haven’t been made available anymore.

Upgrading from Windows 7 or Windows 8

When you are upgrading from Windows 7 or Windows 8.1, then you can do an actual in-place upgrade as long as you are upgrading to the same Windows Edition (Home, Professional or Enterprise). If you were using Windows 7 Ultimate, then you can upgrade to Windows 10 Professional. Windows 7 Start users can upgrade to Windows 10 Home.

When doing an in-place upgrade, it will automatically run the Windows 10 Upgrade Assistant. This tool will indicate which drivers and applications you need to uninstall or update before or after the installation process. If you are not yet being offered the latest version of Windows 10 via Windows Update but you already want to update anyway, then you can initiate the update via the Windows 10 Update Assistant.

There are many known issues caused by having a virus scanner integrated with Outlook. These issues range from poor Outlook performance to send receive errors and from corrupted emails to complete data loss.

You can safely disable this integration part of your virus scanner without compromising your security; you’d still be sufficiently protected by your on-access scanner part of the virus

  2. Behind the prompt type:
    (note the space in the command)
  3. Wait until the process completes. This usually doesn’t take longer than 20 minutes with a regular hard disk and takes much shorter when you have a fast SSD drive.
  4. Restart your computer.

Cannot start Microsoft Outlook. Cannot open the Outlook window. The set of folders cannot be opened. File access is denied. You do not have the permission required to access the file

In that case, you’ll need to adjust the file permissions for the pst-file that is referenced and grant yourself “Full Control” permissions.

  1. Browse to the file location as indicated in the error.
  2. Right click on the file and choose Properties.
  3. Select the Security tab.
  4. Press the Edit… button.
  5. Select your user account.
  6. Select the “Full control” permission.
  7. Press OK until all dialogs are closed.
  8. Start Outlook again.

iCloud doesn’t work

iCloud buttonDo you have the iCloud add-in installed? It may not work anymore after upgrading to Windows 10. To solve this, remove iCloud from your mail profile, repair the iCloud installation and then re-add the iCloud configuration to Outlook again via iCloud Control Panel.

  1. File-> Account Settings-> Account Settings…-> tab Data Files
  2. Select the iCloud data file and press Remove.
  3. If you also connected to the iCloud account via IMAP, remove this account.
  4. Close Outlook.
  5. Open the iCloud Control Panel via the Start Menu and uncheck the option: Mail, Contacts, Calendars, and Task with Outlook.
  6. Download and install the latest version of iCloud from the Apple website or Microsoft Store.
    • When you already have the latest version installed, choose the Repair option.
  7. Reboot when being prompted to do so by the iCloud installer.
  8. Open the iCloud Control Panel via the Start Menu and select the option: Mail, Contacts, Calendars, and Task with Outlook.
    • If this is a new installation of iCloud, iCloud may prompt you to run a repair on the iCloud installation again and reboot. Outlook integration will be available then.
  9. Start Outlook and let iCloud resync your data.

No new email notifications

Action Center buttonIf you no longer get any New Email Notifications, then click on the Action Center icon in the bottom right corner of your Taskbar to see your past notifications including emails from Outlook 2013, Outlook 2016, Outlook 2019, Outlook 2021 and Outlook as part of a Microsoft 365 subscription.

To get the New Email Notification banner again for each email that you receive;

  1. In the Action Center, in the top right click on: Manage notifications.
    • An alternative method is;
      Start-> Settings-> System-> from the Navigation Panel on the left choose: Notifications & actions.
  2. In the “Get notifications from these senders” section at the bottom, click on Outlook.
  3. Make sure that you have enabled all notification options which you want to get (“Hide content when notification are on lock screen” is off by default) and select how many notifications should be visible in the Action Center.
  4. Close Settings.

Note:
Outlook will only show New Email Alerts when the message is delivered to the Inbox folder. To make it show an alert even when the message is automatically moved to another folder by a Message Rule see the guide Creating a permanent New Mail Desktop Alert.

Rebuild search index / no search results

Search Outlook buttonAfter the upgrade to Windows 10 has finished, you might notice that no search results are being returned when you use the Search field in Outlook.

The first solution to this is: Wait!

In most cases, Windows Search still needs to re-index your Outlook content (and the rest of your computer) and will fix itself eventually when the computer is idle.

If results are still not being returned after you’ve left your computer idle for an extended period of time (like for instance overnight), then you can use the following troubleshooting guide: Fixing Instant Search.

Pictures not showing and “Work file” error

Outlook could not create the work file. Check the TEMP environment variable.

Solving this issue is 2-fold and requires editing the Registry;

  1. Reset the registry value for the location of the “Temporary Internet Files” folder to default.
  2. Delete the registry entry for the “SecureTempFolder” in Outlook

Here, verify that the location for that key is set to;

Step 2
Outlook uses a subfolder in the Temporary Internet Files folder to write its temp files which are retrieved from the Internet. For instance; linked pictures and attachments. To make sure a proper folder is being created, we reset the reference to this folder so that Outlook will recreate the registry entry and folder automatically the next time is needs to be used.

Delete the key name. If the key name is not there, you’re ok already.

Now restart your computer for the changes to take effect and try again.

    The following steps will ensure OneDrive or OneDrive for Business applications and processes are running correctly, that you are able to access your files online, and that you have enough room for the right files to sync.

    Select your operating system.

    Look for a OneDrive cloud icon in the notification area, at the far right or bottom of the taskbar.

    Note

    • You might need to click the Show hidden icons arrow next to the notification area to see the OneDrive icon, or click and start typing "select which icons" to display the notification area settings option, and then show Microsoft OneDrive. If the icon still doesn't appear in the notification area, OneDrive might not be running. Click , type OneDrive in the search box, and then click OneDrive in the search results.
    • If you have both a personal OneDrive and OneDrive for Business accounts, you may see two icons: one white (this is your "Personal" OneDrive) and one blue (your organization's OneDrive for Business).
    • In the image below, "Contoso" is a fictional name used by Microsoft as an example company. You should see your own organization's name.

    3. Select Online Repair for the best chance of fixing the issue. You will need to close all Microsoft programs before clicking repair, this includes Skype. This may take some time, depending on your Internet connection and your computer.

    4. Partway through the repair process, your computer will look like the image below. This is normal, once it is fully done, click close and attempt to use a Microsoft program.

    Office 2010/2013

    1. To begin, click on Start and then Control Panel.

    Find and fix issues after adding your domain or DNS records

    Check the Domains FAQ if you don't find what you're looking for.

    Getting your domain set up to work with Microsoft 365 can be challenging. The DNS system is nitpicky to work with, and the DNS setup for your domain affects important business activities, like email!

    Note

    You can check for problems with your domain by checking its status. Go to Setup > Domains and view the notifications in the Status column. If you see an issue, select the three dots (more actions), and then choose Check health. The pane that opens will describe any issues occurring with your domain.

    What's going on?

    Can't verify your domain?

    There are a couple of common reasons that domain verification doesn't work as it should:

    1. The verification record value isn't quite correct. Doublecheck that you've copied and pasted the exact value into the TXT verification record at your DNS host. One common issue is not including the "MS=" part of the record. We need that too!

    2. The record hasn't been saved. At some DNS hosts, you have to take an extra step to save the zone file (where the DNS record is stored) so that it will update across the Internet. Make sure you've saved your changes so Microsoft 365 can see and verify the record.

    3. The record hasn't updated across the Internet. It typically only takes a few minutes for us to be able to see the new record, but occasionally it can take as long as a few hours.

    Outlook isn't working?

    If you've set up your MX record and other DNS records correctly for your domain, but mail doesn't work, let us help you fix your Outlook problems.

    Everyone's email got switched to Microsoft 365 and you only wanted YOUR email to switch?

    When you add your domain to Microsoft 365, typically your domain's MX record is updated (by you or Microsoft 365) to point to Microsoft 365, and ALL email sent to that domain will start coming to Microsoft 365. Make sure you've created mailboxes in Microsoft 365 for everyone who has email on your domain BEFORE you change the MX record.

    What if you don't want to move email for everyone on your domain to Microsoft 365? You can take steps to pilot Microsoft 365 with just a few email addresses instead.

    Can't confirm non-profit or school account status?

    There are a couple of scenarios when you just need to verify your organization's domain and not set up any services. For example, to prove to Microsoft 365 that your organization qualifies for a school subscription.

    Check out the guidance in Verify your Microsoft 365 domain to prove ownership, nonprofit or education status, or to activate Yammer to make sure you've completed all the required steps. It's a little different for each situation.

    The following steps will ensure OneDrive or OneDrive for Business applications and processes are running correctly, that you are able to access your files online, and that you have enough room for the right files to sync.

    Select your operating system.

    Look for a OneDrive cloud icon in the notification area, at the far right or bottom of the taskbar.

    Note

    • You might need to click the Show hidden icons arrow next to the notification area to see the OneDrive icon, or click and start typing "select which icons" to display the notification area settings option, and then show Microsoft OneDrive. If the icon still doesn't appear in the notification area, OneDrive might not be running. Click , type OneDrive in the search box, and then click OneDrive in the search results.
    • If you have both a personal OneDrive and OneDrive for Business accounts, you may see two icons: one white (this is your "Personal" OneDrive) and one blue (your organization's OneDrive for Business).
    • In the image below, "Contoso" is a fictional name used by Microsoft as an example company. You should see your own organization's name.

    If you see a red circle with white cross over your OneDrive icon, select the icon and select view sync problems.  A dialog box will describe the error and provide the resolution.

    If you don't see any OneDrive icons, press Windows icon. (or click Start in older versions of Windows), type OneDrive in the search box, and then click OneDrive (or Microsoft OneDrive or OneDrive for Business in older versions).

    If OneDrive still doesn't start, download the latest version of OneDrive and install it.
